"Did my son come to class on Saturday?" "Have I paid for October?" If you teach tuition, you've answered these questions on the phone and on WhatsApp more times than you can count, often at night, often with a register you don't have in front of you.
The parent portal in Class Tracker lets parents find these answers themselves. You invite a parent, they sign in, and they see their own child's classes, attendance and payments. Nothing else.
What Parents See
When a parent signs in, they see a list of their children. For each child, they can open:
- Their classes: every class the child is enrolled in, with the teacher's name and the weekly schedule.
- Their attendance: for each class, every class day since the child joined, marked Present or Absent, with a count such as "18 of 20 attended".
- Their payments: every fee payment recorded, with the month it was for, the class, the date it was paid and the amount, plus a running total.
That's the whole portal. It's deliberately simple, so a parent who has never used an app like this can find their way around on a phone.
What Parents Can't Do
The portal is read-only. Parents can't mark attendance, change a payment or edit any details. They can only see children registered with their own phone number, never another family's records, and they never see your other students, your class lists or your income.
One Login for the Whole Family
A parent's login is linked to their phone number. Every child registered with that number shows up under the same login, so a mother with two children in your classes doesn't need two accounts.
This works because Class Tracker keeps one record per parent: when you add a second child with a phone number you already have, it offers to reuse that parent, so brothers and sisters share one set of contact details.
How to Invite a Parent
- Open Students, then Parents / guardians. This lists every parent with their children.
- Check that the parent's email address and phone number are correct. The phone number decides which children they'll see, so it matters.
- Press the key button next to the parent to invite them to the parent portal.
The parent receives an email invitation to set a password. After that, they can sign in with their email and password, or with Google if that email is a Google account.
Whoever has permission to edit students in your account can send invitations, so an assistant who handles admissions can do it too.
Why It Saves You Time
Most parent calls are about two things: attendance and payments. Both are already in Class Tracker the moment you mark them.
- When you scan QR cards at the door, the attendance a parent sees is already up to date.
- When you record a payment, it appears in the parent's payment list straight away.
- When there's a question about whether a month was paid, you and the parent are looking at the same record.
It also helps with fees. Parents who can see exactly which months have been paid are less likely to be surprised by a reminder. Our guide to collecting tuition fees on time has more ideas.
Good to Know
- Mark attendance every class. The portal lists every class day from your schedule. A day you didn't mark shows as absent, so marking consistently keeps what parents see accurate.
- Cancelled classes. If you cancel a class for a Poya day or an exam week, that date still appears in the list. Let parents know about cancellations the way you do today.
- Parents don't pay through the portal. Class Tracker records payments; parents still pay you the way they always have.
- Students don't have logins. Only parents and guardians you invite can sign in.
Common Questions
Do I have to give every parent a login? No. Invite only the parents who want one. Everything else in Class Tracker works the same either way.
What if the child also goes to another teacher's class? If that teacher also uses Class Tracker and has the same phone number for the parent, the parent sees both under one login. Each teacher still sees only their own students and records.
Is it a separate app? No. Parents use the same web address as you, on any phone or computer browser. There's nothing to install.
